Human Resources Generalist

Primary Function
The Human Resources Generalist (HRG) owns BGCT's recruitment, onboarding and new hire orientation process for employees and volunteers. The HRG manages every applicant from an approved vacancy through Cleared to Start, keeps candidates moving and informed, and delivers an orientation that prepares each new hire to work safely and confidently with youth from day one.
Recruitment, onboarding and orientation are the primary focus of this position and should represent the majority of the HRG's time. The HRG also maintains HRIS records, administers benefits enrollment and supports performance management and employee relations under the direction of the VP of Finance and Administration.
Key Roles (Essential Job Responsibilities)
Recruitment and Applicant Management
The HRG facilitates and owns every hiring step within BGCT's established hiring timelines. Hiring managers make the selection decision.
- Posting and sourcing: Opens approved positions promptly, posts through the HRIS and other recruitment channels, and builds candidate pipelines for high-volume and hard-to-fill roles.
- Complete applications: Screens applications daily for minimum qualifications and follows up with applicants to complete missing information before routing to hiring managers.
- Interview planning and scheduling: Confirms the interview panel and questions with the hiring manager and schedules interviews through the HRIS.
- Conducting interviews: Facilitates interviews, ensures panelists have materials, and participates on the panel when requested.
- Collecting feedback: Gathers panel documentation and the hiring manager's Recommendation for Hire and verifies the file is complete.
- References and offers: Completes reference checks, routes the file for approval, and issues authorized offers.
- Applicant communication: Keeps every active applicant informed at each stage and sends timely dispositions.
- Tracking and escalation: Maintains a recruitment dashboard, follows up on missed timelines, and escalates delays to the responsible leader.
Onboarding and New Hire Orientation
- Coordinates pre-employment activities, including HRIS system self-onboarding, I-9 verification, fingerprinting, ID badge and required documents.
- Designates employees Cleared to Start only after all requirements are verified, and confirms first-day readiness with the hiring manager.
- Plans and facilitates new hire orientation for employees and volunteers covering BGCT culture, child and club safety, workplace safety, professional conduct, and zero tolerance for harassment, discrimination and racism.
- Coordinates IT and facility requirements so new hires have tools and workspace on day one.
- Serves as point of contact for new hires during their transition and gathers feedback to improve onboarding.
Background Screening and Pre-Employment Compliance
- Initiates, tracks and documents both required background screenings for employees and volunteers: BGCA-endorsed (initial and annual) and Kansas Office of Early Childhood (OEC).
- Completes professional and prior Boys & Girls Club references in accordance with BGCT policy and BGCA requirements.
- Handles flagged results according to BGCT policy and keeps screening information confidential.
HRIS and Records Management
- Maintains HRIS system as the official applicant and employee system of record, ensuring accurate candidate, employee and volunteer records.
- Generates workforce reports on turnover, vacancies and staffing trends.
Benefits Administration
- Manages benefits enrollment, changes and employee communication, including new hire enrollment during onboarding.
- Serves as liaison with benefit providers, resolves issues in a timely manner, and supports employee understanding and use of benefits.
Employee Relations and Performance Management Support
- Serves as an approachable first point of contact for employee questions on HR policies and procedures.
- Refers complex or sensitive employee relations matters to the VP of Finance and Administration and coordinates with any additional parties as directed.
- Supports administration of the annual performance review process, including tracking completion by supervisors and employees.
Additional Responsibilities
- Keeps current on HR best practices, employment law and BGCA requirements affecting recruitment and onboarding.
- Performs special assignments and projects as directed by the CEO or VP of Finance and Administration.
- Additional duties as assigned by supervisor.
