Legal Assistant

We are seeking a detail-oriented, highly organized Legal Assistant to join our growing firm. The ideal candidate will provide comprehensive administrative and legal support, assist with case management across tax controversy and corporate matters, handle client communications, and maintain seamless day-to-day office operations.

Responsibilities:

● Ensure confidential documents are securely shredded in accordance with company policies and procedures.

● Sort, distribute, and process incoming and outgoing mail and packages accurately and in a timely manner.

● Scan and digitize documents as needed, maintaining organized electronic records.

● Manage postage equipment and systems to print postage for outgoing mail and packages.

● Welcome visitors to the office with a professional and friendly demeanor, ensuring they feel comfortable and attended to.

● Handle incoming calls promptly and professionally, directing them to the appropriate personnel or taking messages as needed.

● Maintain cleanliness and organization in the break room area, ensuring it is stocked with necessary supplies and equipment.

● Monitor inventory of snacks and refreshments, restocking as needed for availability for staff.

● Regularly clean and maintain the refrigerator, disposing of expired items and keeping it organized.

● Assist with travel arrangements

● Scan in IRS documents and assign task to corresponding attorney on case

● Open matters for tax resolution/ controversy and corporate departments

● Submitting and Withdrawing POAs

● Manage attorney calendars

● Assist with client onboarding and offboarding

● Maintain client database, including scanning and saving client documents

Preferred Qualifications:

● High school diploma or equivalent

● Demonstrated professional experience as a legal assistant or within a comparable role.

● Advanced proficiency in Google Workspace applications, specifically Docs and Sheets.

● Exceptional verbal and written communication competencies.

● Excellent organizational and time management capabilities.

● Meticulous attention to detail and high precision in task execution.

● Proven ability to manage multiple priorities and multitask effectively.

● Consistently professional and courteous conduct when engaging with personnel and external visitors.
