GENERAL SUMMARY:

Bennett College seeks a highly organized, detail-oriented, and service-minded Human Resources Administrator to provide essential administrative and operational support to the Office of Human Resources.

Reporting to the Director of Human Resources, the Human Resources Administrator will support the day-to-day administration of HR processes, maintain accurate and confidential employee records, coordinate documentation and workflow, and assist with onboarding, recruitment administration, compliance activities, and employee services.

This position is well suited for an early-career HR professional who enjoys organization, documentation, process coordination, and supporting a fast-paced office environment. The successful candidate will exercise sound judgment when handling confidential information, demonstrate strong attention to detail, and provide professional and responsive service to employees, managers, and candidates.

ESSENTIAL JOB FUNCTIONS:

Human Resources Administration

- Provide day-to-day administrative support to the Director of Human Resources and the Office of Human Resources.

- Serve as the first point of contact for HR adequately managing and forwarding inquiries to the appropriate persons within the HR department and all other departments for the College.

- Prepare, organize, process, and maintain HR-related forms, correspondence, reports, personnel documentation, and other records.

- Maintain accurate and confidential electronic and physical personnel files in accordance with College policies and applicable laws and regulations.

- Assist with the preparation and processing of employment-related documentation, including new hire paperwork, personnel action forms, employment changes, separation documentation, and other HR forms.

- Monitor HR administrative workflows to ensure required documentation is complete, accurate, and submitted in a timely manner.

- Assist with maintaining HR calendars, deadlines, tracking logs, and departmental records.

- Prepare routine reports, spreadsheets, correspondence, and other administrative materials as requested.

Recruitment and Onboarding Support

- Provide administrative support throughout the recruitment and selection process, including posting positions, maintaining candidate records, scheduling interviews, preparing interview materials, and processing required documentation.

- Assist with pre-employment requirements, including background checks, reference documentation, employment eligibility documentation, and other required hiring materials.

- Coordinate administrative components of new employee onboarding and ensure required documentation is completed and received.

- Assist with maintaining onboarding checklists and tracking completion of required new hire activities.

- Respond to routine candidate and employee inquiries and direct more complex HR matters to the appropriate HR team member.

Employee Records and HRIS Administration

- Enter, update, and maintain employee information in the College's HRIS and other HR systems.

- Assist with ensuring the accuracy and completeness of employee data and personnel records.

- Support periodic audits of employee files and HRIS records.

- Assist with tracking employee changes, including hires, transfers, promotions, status changes, leaves, and separations.

- Maintain organized electronic and physical filing systems to support efficient retrieval of HR information.

Benefits, Compliance, and Employee Support

- Provide administrative assistance with benefits enrollment, employee communications, and benefits-related documentation.

- Assist with tracking required employment documentation, certifications, acknowledgments, and other compliance-related materials.

- Support the preparation of documentation for internal reviews, audits, and regulatory requirements.

- Assist with maintaining employee policy acknowledgments and required HR documentation.

- Protect the confidentiality and security of employee information and exercise discretion when handling sensitive matters.

Departmental and Special Projects

- Assist the Director of Human Resources with special projects, process improvements, and departmental initiatives.

- Help develop, organize, and maintain HR forms, templates, procedures, and administrative resources.

- Assist with preparation for employee meetings, HR programs, trainings, and College events.

- Identify administrative inefficiencies and recommend opportunities to improve organization, documentation, and workflow.

- Perform other duties and responsibilities as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

- Knowledge of basic human resources principles, practices, and terminology.

- Strong organizational skills and exceptional attention to detail.

- Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.

- Strong written and verbal communication skills.

- Ability to manage multiple assignments, priorities, and deadlines with accuracy.

- Strong proficiency with Microsoft Office, particularly Word, Excel, Outlook, and Teams.

- Ability to learn and effectively use HRIS, applicant tracking, and other administrative systems.

- Strong customer service orientation and ability to interact professionally with employees, candidates, managers, and external contacts.

- Ability to follow established procedures while recognizing when an issue should be escalated to the Director of Human Resources.

- Ability to work independently while also functioning effectively as part of a small HR team.

- Demonstrated commitment to accuracy, professionalism, and service.

EDUCATION AND EXPERIENCE:

Required:

- Bachelor's degree in Human Resources, Business Administration, Management, or a related field; or an equivalent combination of education and relevant experience.

- 0–2 years of administrative, human resources, office, or related professional experience.

- Demonstrated proficiency with Microsoft Office applications.

Preferred:

- Previous internship, work-study, or professional experience in human resources or an administrative office environment.

- Experience working with an HRIS, applicant tracking system, or other database-driven system.

- Familiarity with basic employment practices, personnel administration, or HR processes.
