About the role:

The VDC Program Coordinator supports the daily operations of the enrollment team by overseeing and coordinating enrollment activities for Veteran Directed Care (VDC), Respite, and Consumer Directed Services (CDS) programs. This role monitors workflows and critical tasks to ensure timely and accurate completion of enrollments and readiness for payroll processing, while maintaining compliance with established processes, quality standards, and timelines

The coordinator serves as a primary point of contact for the enrollment team, providing guidance on program rules, resolving complex issues, and supporting communication with agencies and stakeholders. The role is responsible for facilitating training on enrollment processes and customer service standards, onboarding new staff, and promoting continued development for team members

In addition, the VDC Program Coordinator performs and supports key enrollment functions, including reviewing and tracking enrollment progress, assisting with employer outreach, supporting payroll-related activities, and troubleshooting system or process issues. The position ensures that procedures are well-documented, consistently followed, and continuously improved to support efficient operations and high-quality service delivery.

Duties and Responsibilities:

· Monitor and track daily operational activities to ensure adherence to established processes, timelines, quality standards, and appropriate resource utilization.

· Provide adequate backup to the enrollment and client support team when needed, performing background checks, entering demographic information, or responding to agencies emails regarding enrollment information

· Interact directly with VDC agency, respite, and CDS contacts

· Manage the meeting cadence with all VDC agency, respite, and CDS contacts

· Provide backup on outreach to employers to provide assistance when needed for completion of enrollment packets

· Assist Client Support staff with research regarding enrollments and budget related questions. Capable of understanding how to obtain pay data and communicate with bankers regarding payment questions.

· Mail agencies/potential enrollees documents when requested

· Backup for ending enrollments in FMS as requested by agency notifications, and for the Senior VDC Generalist with timesheet errors and budget entry.

· Run enrollment files for payroll processing.

· Perform fiscal meetings with agencies as needed for all new enrollments, being able to speak to all packet documents employer and employee.

· Troubleshoot issues with e-Timesheets software and/or how to escalate to developers if needed.

· Oversee and facilitate the training of new hires and suggest ongoing training for seasoned staff.

· Expert knowledge of all programs and states.

· Work closely with FMS Program Coordinators and Leadership to achieve overall division goals

· Provide adequate backup to the Enrollment Supervisor and enrollment team members as needed.

· Other duties as assigned

Qualifications:

· Associate’s degree or equivalent, Bachelors’ Degree Preferred

· 5+ years of onboarding paperwork processing experience preferred

· Effective Time Management

· Strong attention to detail, critical thinking, and problem-solving skills

· Ability to adapt to customized software systems and work across multiple software platforms

· Willingness to manage multiple tasks at once and adhere to guidelines and deadlines

· Effective verbal and written communication skills

· Ability to maintain confidentiality

· Ability to work independently as well as build and maintain strong working relationships with internal and external stakeholders
