Position OverviewThe Operations Specialist supports company HR administration, workplace operations, employee experience and engagement functions to ensure efficient internal processes and positive employee experience. This role serves as a central point of coordination across departments with support of benefits administration, onboarding, compliance, and data management.
Job Duties- Employment Lifecycle & Benefits
- Coordinate the employment lifecycle, including onboarding, orientation, status changes, and offboarding.
- Administer employee benefits, including enrollments, life event changes, and open enrollment support.
- Collaborate closely with the finance team, communicating payroll data updates, validating payroll deductions and notification of employee changes.
HRIS, Compliance & Verification
- Maintain accurate, secure, and up-to-date employee records in the HRIS (ADP WorkforceNow).
- Support compliance efforts, including required postings, record retention, audits, training assignments, audit support, and handbook and policy revisions.
- Process employment verification requests promptly and in line with privacy requirements.
- Coordinate background checks with vendors and track results through completion.
Employee Engagement & Recognition
- Plan and support employee engagement activities and events.
- Administer rewards and recognition programs, including milestones and achievement recognition, birthdays, and other notable events.
Corporate Communications
- Draft and distribute company-wide announcements, policy updates, and internal communications.
- Ensure information shared with employees is timely, accurate, and easy to access.
- Respond to general employee inquiries and requests, acting as the first line of support.
Process Development & Improvement
- Identify gaps in current processes and develop, document, and implement improvements.
- Provide ad-hoc project support as needed.
Required Qualifications- 5+ years of experience in HR administration, Operations, or a related support function.
- Working knowledge of benefits administration, onboarding, and core HR processes.
- Hands-on experience with ADP WorkforceNow and a high level of data accuracy.
- Familiarity with employment compliance basics, such as I-9s, record retention, and confidentiality requirements.
- Comfortable knowledge of Microsoft Office Suite.
- Understanding process flows and process optimization.
- Excellent written and verbal communication skills.
- Sound judgment and discretion when handling confidential employee information.
- Ability to identify urgency and prioritize work accordingly.
- On-site: 3-5 days and Remote: 1-2 days
Nice to Have Qualifications- Bachelor's or Associate’s degree in a related field is preferred; an equivalent. combination of education and relevant experience will be considered.
- Experience with background check platforms and employment verification vendors.
- Familiarity with work order or ticketing systems.
- Experience supporting employee engagement or recognition programs.
- Familiarity with SharePoint, Visio, or Atlassian products (Jira, Confluence).
- HR certification (e.g., aPHR, SHRM-CP, PHR) or progress toward one.
- Experience in a fast-paced or growing organization.
