Job Description:
LifeHealth, LLC is a Service-Disabled Veteran-Owned Small Business headquartered in Littleton, Colorado. We provide medical and dental readiness, clinical staffing, non-clinical case management, and care coordination to the Department of Defense and Army National Guard in more than 20 states.
The Dental Case Manager tracks and resolves dental readiness deficiencies for Arkansas Army National Guard Soldiers, so units meet the DoDI 6025.19 goal of more than 85% Fully Medically Ready (ideal: 100%). The role manages an estimated caseload of 250 Soldiers per year through dental case management and the dental voucher process, from identification of a dental deficiency until the Soldier is dentally ready or administratively separated.
This is a non-clinical, administrative care-coordination role. The Dental Case Manager does not provide dental treatment and does not perform inherently governmental functions, such as representing the Government or making final readiness decisions.
Essential duties and responsibilities:
Dental case management
• Track the dental readiness status of all assigned Soldiers and report each Soldier's status every 30 days until a disposition is reached.
• Manage each Soldier's dental case from identification of the deficiency until the Soldier is dentally ready or administratively separated.
• Conduct case intake, assessments, and case reviews; open, update, and close cases.
• Follow up on every Soldier referred by a provider
• Coordinate treatment plans with civilian dental offices and military dental facilities.
• Submit case documentation and readiness concerns to the military or contracted dental provider for review and decision.
Dental voucher management
• Administer the dental voucher process for Soldiers needing treatment to correct readiness deficiencies.
• Track each voucher from issue through completed treatment and returned documentation.
• Maintain automated referrals in MEDCHART.
Records and documentation
• Chart all case activity in eCase.
• Ensure all dental documentation from Soldiers and their providers is placed in the electronic record and the hard-copy record.
• Maintain records in accordance with AR 40-66 and keep them at least 95% accessible during normal business hours.
• Provide the Records Custodian or delegate with all relevant dental documentation.
• Obtain a signed release of information from each Soldier before requesting outside records.
• Maintain HIPAA standards and protect all PII and PHI.
Readiness events and Soldier education
• Support PHA, SRP, and other Medical Readiness Events, including drill weekends, annual training periods, and unforeseen events.
• Educate Soldiers on resources available to improve their dental readiness.
Reporting and analytics
• Review, compile, and monitor dental readiness data from MODS/MEDPROS and other sources.
• Analyze trends and prepare recommendations and reports for the Deputy State Surgeon.
• Inform brigade and battalion surgeons with timely, accurate dental readiness information for deployability decisions.
Qualifications:

The PWS requires every employee to be fully trained, licensed, certified, and qualified on arrival; the Government provides no training. It sets specific credentials only for the nurse case manager, so the preferred items below are LifeHealth's recommendations, not PWS requirements.
Required (from the PWS)
• Experience and qualification in non-clinical case management and the dental readiness functions listed above.
• Ability to obtain a favorably adjudicated Tier 1 or higher background investigation and a Common Access Card.
• Two forms of identification from the Form I-9 list, one a valid government-issued photo ID.
• Working knowledge of HIPAA and PII protection requirements.
• Ability to work drill weekends and travel within Arkansas.
Preferred
• Credential or experience as a dental assistant, registered dental assistant, or dental hygienist.
• At least two years of case management, care coordination, or dental office administration experience.
• Experience with military dental readiness, including Dental Readiness Classifications and AR 40-501.
• Familiarity with MEDPROS, eCase, MEDCHART, or similar military health record systems.
• Experience with National Guard PHA or SRP events.
• Valid driver's license and reliable transportation.
• Strong organization, data tracking, and written communication skills, including Microsoft Excel.
Work Environment:

• Setting: Government office at Camp Joseph T. Robinson; the Government furnishes the desk, phone, computer, and network access.
• Schedule: 0800–1630 weekdays, plus MRE weekends with a flexed work week.
• Travel: Statewide travel to Fort Chaffee and armories for MREs or mobilizations, with COR recommendation and Contracting Officer approval. Commuting to the primary worksite is not reimbursed.
• Telework: Allowed only for work that does not involve hard-copy PII or PHI, and at no extra cost to the Government.
• Physical demands: Prolonged computer work; standing and walking at readiness events; occasional lifting of record boxes and event supplies.
