Now, here’s what we’re building, and where you come in.
As our Senior Accountant, you will be the dedicated owner of employee-facing time and expense systems, cash transaction monitoring, billing exceptions, monthly reconciliations, and vendor contract repository management. As Relay grows, so do cost center changes, card users, and team member inquiries. You will be the go-to contact for all of it, translating complex accounting policies and operational requirements into clear, plain-language guidance and serving as the collaborative bridge across People Services, Marketing, FP&A, AP, and the broader team. A core objective of the role is to use AI and automation to reduce manual, repetitive work, shifting your time from processing transactions to reviewing exceptions, improving controls, and supporting the business. This role is built to grow!
Core Responsibilities
T&E Administration & Corporate Expense Optimization
- Administer the T&E user experience (card issuance and closure, user changes, onboarding/offboarding, and policy management), resolve employee inquiries, and oversee the audit process for related transactions. Lead the policy revamp and consolidation project, and create a standard training deck and video for new users.
- Maintain the corporate card review and reconciliation process, and assist Accounts Payable with a project to streamline vendor spend management and incorporate automated approval workflows.
- Serve as the single point of contact for employee T&E and transaction questions. Train employees on Relay’s policies and provide consistent guidance on how gray-area items are treated for approval, coding, and documentation. Track recurring questions and feed them back into policy updates to reduce audit risk.
Accounting Operations
- Cash Transaction Monitoring & Automation Rules — Own the daily monitoring of company cash activity. Perform bank reconciliations in NetSuite, partnering with the Billing team to ensure customer payments are properly applied before reconciliation. Maintain clean records and give leadership timely, accurate insight into net cash position and working capital.
- Billing Coordination & Exceptions — Identify, investigate, and resolve exceptional billing transactions and maintain CAD deposit applications. Create and maintain a recurring exception report and train billing users.
- Vendor Contract Management — Maintain the centralized vendor contract repository, tracking renewal timelines, payment schedules, and key commercial obligations. In collaboration with FP&A, help implement a central contract database that tracks renewal dates and owners, and research AI tools to support it.
- Month-End Close Ownership of OpEx-Related Balance Sheet Accounts: Own the month-end close for OpEx-related balance sheet accounts, including accrued expenses, cash, payroll and benefits, leases, and debt. Prepare and record journal entries and complete balance sheet and bank reconciliations to ensure a timely, accurate close and reliable financial reporting in accordance with US GAAP.
- Expense Allocations: Own expense allocations and partner with FP&A to ensure operating expenses are accurately allocated and reported by department and financial statement category. Ensure transactions are coded to the correct cost center and OpEx classification, enabling leadership to make informed decisions on spend by function.
- Audit Support: Lead the fulfillment of internal and external audit requests for assigned areas, providing well-documented workpapers and timely support to auditors.
Departmental Collaboration
- Billing Partnership: Partner closely with the billing department to ensure timely, accurate application of customer payments, supporting financial integrity and real-time cash visibility.
- Marketing & Departmental Liaison — In partnership with Marketing, help establish and maintain a process to track and report event and conference spend and maintain budget adherence. Collect documentation from Marketing cardholders, review recurring campaign expenses for proper cost allocation, and hold a monthly review with Marketing in collaboration with FP&A.
- Accounting Liaison to FP&A and Payroll — Serve as the liaison between Accounting, FP&A, and People Services, and act as the steward of all payroll-related activity in NetSuite. Partner closely with People Services to ensure payroll data is recorded accurately and on time in NetSuite, then work with FP&A to translate that data into departmental headcount spend and ensure proper allocation to expense categories and cost centers. Assist People Services in reconciling promotional swag store activity, inventory levels, and merchant collections to the general ledger each month. Create a guest travel policy and a tracking process for exception items (unused flight and hotel refunds, out-of-pocket resolution), and support other ad hoc needs.
- Corporate Change Management & Communication — Manage NetSuite user changes and headcount report distribution. Collaborate with People Services and FP&A to capture organizational and cost center changes so finance systems allocate accurately. Route and monitor financial authorizations and contracts for executive e-signature to maintain compliant audit trails. Help IT define a distributed information structure and access standards, and set up a cost center change notification process with People Services and FP&A.
Systems & Process Optimization
- Application Integration: Collaborate with the Accounting and IT teams to optimize the integration of third-party applications (expense management, payroll, close automation) with our NetSuite ERP to drive efficiency and data integrity.
- AI & Automation Adoption: Build and maintain automation rather than simply performing manual steps. Train an AI assistant to code expenses and flag policy exceptions so staff review only exceptions; build AI skill-based reconciliations from our standard format; design Notion-based AI approval workflows for virtual card requests, contract approvals, and departmental vendor spend; and set up recurring exception reports and Auto-match rules. A curious, proactive mindset toward emerging technology is essential.
- Process Optimization: Proactively identify, recommend, and implement internal process and report improvements to enhance efficiency, accuracy, and internal controls within your designated accounts.
Required Education & Experience
- Education: Bachelor’s degree in Accounting, Finance, or a highly related field.
- Experience: 3–5 years of progressive accounting experience.
- Technical Standards: Strong foundational understanding of US GAAP.
- CPA: Certified Public Accountant (CPA) design
