HR Assistant - Berlin
Unicorn Hospitality Group · Berlin, Germany
Our German business doubles this winter. That means many new colleagues in Berlin, Hamburg, Frankfurt and Munich, and every one of them deserves a clean start. We are looking for someone who loves order, likes people, and sees people operations for what it is: hospitality for our own team.
ABOUT US
Unicorn is the operational backbone of forward-thinking hotel brands across Europe: the partner guests never see, but always feel. We run front desk, housekeeping, maintenance and guest operations under our partners' brands, with energy, courage and a real love for the craft. Founded in Oslo in 2019, today around 350 colleagues in ten cities across five countries. Our operation is 100 percent digital: paperless, with our own tools for room status, tasks and rotas.
THE ROLE
You are the right hand of our people team in Germany. Three fixed days a week you work from Unicorn House in Berlin-Mitte and hold together everything that happens between “application received” and “first day at work”, and everything that comes after.
Most of our team works in housekeeping and at the front desk, comes from many countries and speaks many languages. Your work decides whether starting with us feels professional and warm, and whether every hour is paid correctly at the end of the month.
WHAT YOU OWN — AND ARE ACCOUNTABLE FOR
- Recruiting: Maintain job ads in Teamtailor, pre-screen applications, coordinate interviews and trial days. Every candidate gets a fast answer, never later than one week.
- Contracts and hiring: Prepare employment contracts from templates, collect and check documents (ID, tax ID, social security number, work permit), register new hires with health insurance and social security, including immediate registration (Sofortmeldung). Everything is ready before day one, not after.
- Onboarding: Prepare the first day together with our House Managers: tool access, workwear, induction, a go-to person on site.
- Personnel administration: Digital personnel files, sick notes (eAU), holidays, contract changes, certificates and leavers. Clean, complete, audit-ready at any time.
- Payroll preparation: Check hours, absences and premiums (including Sunday and public holiday premiums under the building cleaning collective agreement) every month and hand them over complete to our payroll provider.
- First point of contact: Answer questions from the team, in German, English, or with patience and hand gestures.
WHO YOU ARE
- You have first experience in HR, personnel administration or office management, through vocational training, an HR-related degree or hands-on work
- You are structured and precise: you notice a missing document before anyone else does
- You handle personal data with discretion and care
- You are warm and patient, even when someone asks about their payslip for the third time
- You are tech-savvy: applicant tracking systems, digital files and spreadsheets come naturally to you
- Basic knowledge of German employment and social security law is a plus
- Fluent German and good English; every additional language is a real bonus
You do not tick every box? Apply anyway. We will teach you the rest.
