Your role as an Executive Assistant to the CEO & Co-Founder

We are looking for an exceptional Executive Assistant to become the trusted right hand of Rico Adlor-Andersen, our CEO and Co-Founder. Rico is a serial entrepreneur who grew his previous company from a small basement business into an international group of more than 2000 people, and he now leads Shine across several European markets.

This is not a traditional assistant role. You will protect and multiply the CEO's time, act as his gatekeeper and representative, and keep the leadership agenda moving with precision. You will sit at the centre of the company, working with the executive team and key partners, and you will see first-hand how a European fintech is built and scaled.

Your focus is executive support at the highest level. Alongside it, you will own selected projects for the CEO's office and shape how that office runs.

The role is based in our Paris headquarters, five days a week, because being close to Rico, the leadership team and the business is essential to doing it well.

What you will do

Run the CEO's time and priorities

• Own the CEO's calendar and inbox end to end, balancing leadership rhythms, board and investor commitments, customer and partner meetings and focus time, and deciding what needs his attention, what can be delegated and what can be declined

• Anticipate conflicts and bottlenecks weeks ahead, and keep a clear weekly plan of priorities and open actions

Prepare the CEO for every moment that matters

• Build briefing packs ahead of meetings, covering context, attendees, objectives, previous discussions and key numbers, and coordinate materials for executive committee sessions and All Hands

Be the CEO's representative and gatekeeper

• Act as the first point of contact for the executive team, stakeholders, press, and draft correspondence and sensitive documents on the CEO's behalf, in his voice

• Handle highly confidential information with complete discretion

Orchestrate travel, events and leadership moments

• Plan complex, multi city travel across Shine's European offices and beyond, and manage the expenses, budgets and suppliers linked to the CEO's office

• Organise executive offsites, board dinners, investor and partner visits and leadership events, from concept to follow up

Own the CEO's office

• Beyond day-to-day support, you will lead or support projects on the CEO's behalf in close partnership with the executive team. You will shape how the CEO’s office runs, using AI and automation to work smarter, and champion Shine’s culture in Paris and beyond.

What you bring

• Min 8+ years of executive support experience, including at least 4 years as the dedicated assistant to a CEO, founder, Managing Director or Partner

• A high-performance background: investment banking, private equity, strategy consulting, or a top tier tech, AI or fintech company where standards, pace and confidentiality are uncompromising

• Proven board and investor facing experience, such as preparing board materials, coordinating investor meetings or supporting fundraising and M&A processes

• Exceptional judgement and discretion: you know what deserves the CEO's attention and what should be resolved elsewhere, and you handle sensitive information with total integrity

• Outstanding organisation: you manage a complex, constantly changing calendar across several countries and time zones without dropping a single thread

• Polished written and spoken communication in English and French; you can draft on behalf of a CEO and represent him with senior stakeholders

• Ownership and digital fluency: you anticipate needs and solve problems before they reach the CEO, and you are at home in Google Workspace or Microsoft 365, Slack, Notion and AI productivity tools

• Calm under pressure, with a service mindset, and no task too small when it moves the company forward

Nice to have

• Experience supporting a founder through a scale up, fundraising or acquisition phase

• Experience in a multi country or group environment

• Familiarity with banking, accounting, SaaS or financial services

• Event management experience at executive level, such as offsites, board dinners or industry conferences
