Job Summary

The Centralized Receiving Team Manager formalizes leadership over the Centralized Receiving function and owns end-to-end performance accountability, KPI tracking, team development, and operational consistency across all supported markets.

This strategic role bridges execution and systems leadership to build a scalable, repeatable operational model that supports multi-state growth. The Centralized Receiving Team Manager is responsible for ensuring the function operates efficiently and accurately while continuously identifying opportunities to improve workflows, increase capacity, reduce downstream rework, and protect store productivity.

Core Responsibilities

Performance & Workflow Management

· Monitor daily transfer volume, processing times, pending backlogs, and overall workflow performance.

· Identify operational bottlenecks and rebalance workloads based on volume trends and business needs.

· Enforce adherence to established workflows, including SKU creation, invoice validation, product data verification, and compliance requirements.

· Identify and implement process improvements that increase accuracy, efficiency, capacity, and scalability as the Centralized Receiving program expands.

· Maintain consistent operating standards across all supported markets.

· Proactively identify workflow risks and escalate issues that could impact receiving accuracy, inventory integrity, or store operations.

KPI Ownership & Data Analysis

· Maintain a weekly performance dashboard to provide visibility into Centralized Receiving performance.

· Analyze operational trends by store, vendor, market, volume, and day of the week.

· Monitor accuracy, efficiency, throughput, backlog, and other established performance metrics.

· Identify trends and root causes impacting performance and develop actionable recommendations for improvement.

· Provide executive-level summaries containing actionable, data-driven insights.

· Use performance data to support staffing, capacity planning, workflow improvements, and future program expansion.

Team Leadership & Development

· Directly manage Centralized Receiving Specialists and establish clear expectations for performance, accuracy, productivity, and accountability.

· Conduct performance reviews tied to established efficiency and accuracy metrics.

· Provide ongoing coaching, feedback, and development opportunities for team members.

· Mentor team members through the Career Experience Program to build a strong internal talent pipeline.

· Optimize staffing schedules based on receiving volume, workload patterns, and business needs.

· Utilize lower-volume periods for training, process improvement, documentation, and backlog cleanup.

· Foster a team culture centered on accountability, collaboration, continuous improvement, accuracy, and operational excellence.

Cross-Functional Coordination

· Accounting: Partner to ensure invoice integrity, resolve discrepancies, and eliminate downstream rework.

· Systems: Align catalog structures, SKU workflows, and receiving processes to minimize inbound SKU tickets and system-related issues.

· Procurement: Coordinate to ensure pricing, product information, and SKU architecture are accurate and aligned prior to receiving.

· Store Operations: Maintain clear communication standards, resolve receiving-related issues, and protect store productivity by reducing administrative workload at the store level.

· Partner with other cross-functional teams as needed to identify and resolve issues impacting the end-to-end receiving process.

· Ensure appropriate stakeholders are engaged when process, system, or operational changes may impact Centralized Receiving.

Performance Metrics (KPIs)

· Accuracy: Maintain established targets for invoice integrity and SKU accuracy, including a target of zero invoice discrepancies and greater than 99.5% SKU accuracy.

· Efficiency: Maintain established processing-time benchmarks and continuously identify opportunities to improve throughput and capacity.

· Backlog & Throughput: Maintain receiving volumes and pending workloads within established service-level expectations.

· Systems Impact: Minimize SKU-related tickets and invoice escalations, with a target of zero issues attributable to Centralized Receiving processes.

· Operational Improvement: Demonstrate measurable improvements in workflow efficiency, accuracy, capacity, and reduction of downstream rework.

Position Requirements

· Strong back-office retail systems experience, including hands-on familiarity with enterprise point-of-sale and inventory management platforms.

· Proven leadership experience managing high-volume operational workflows.

· Demonstrated ability to lead, coach, and develop team members while maintaining clear performance expectations.

· Strong analytical skills with the ability to interpret operational data, identify trends, and translate findings into actionable improvements.

· Outstanding cross-functional communication and strategic influencing skills.

· Strong organizational and problem-solving skills with the ability to manage competing priorities.

· Ability to balance operational speed and efficiency with exceptional attention to detail and accuracy.

· Demonstrated ability to develop and improve processes in a growing, fast-paced operational environment.

· Experience supporting multi-location or multi-market retail operations preferred.

· Experience working within a highly regulated retail environment preferred.

Position Expectations

The Centralized Receiving Team Manager is expected to maintain strong operational performance while continuously developing the Centralized Receiving function for future

growth. Success in this role requires balancing immediate execution with longer-term process improvement, team development, capacity planning, and scalability.

The Manager will be accountable for ensuring Centralized Receiving remains a reliable and effective operational partner to stores and cross-functional teams while identifying opportunities to centralize additional work, improve accuracy, reduce manual processes, and create efficiencies across the organization
