Do you have experience in administrative processes, working with data and internal systems? We're looking for a new colleague to join our Contract Team, based in Poland, with a primary focus on our Germany and Netherlands markets, and potential involvement in our UK and Ireland markets as well.
Your main task will be supporting our Contract Group department. This also covers a range of administrative tasks tied to the full contract process, with close contact to our Sales department and other internal teams forming an important part of your daily routine.
Location: hybrid or remote
You'll have real influence over shaping your own working day. Working across our UK, Netherlands, Ireland and Germany markets, you'll be responsible for, but not limited to:
- Contract management: creating, correcting and sending contracts to clients and consultants across the DE and NL markets, potentially also across the UK and IE markets; Purchase Order hunting and signature chasing
- Ensuring correct invoicing data in the system, adding and verifying invoicing data (PO number, cost center, etc.), adjusting fees and rates (e.g. index regulations), calculating discounts and making the right settings in our in-house system
- Creating, adjusting and updating contract templates according to client framework agreements, including local market variations
- Assisting Account Managers and the Finance Department with administrative tasks
- Synchronizing data across contracting-related databases so our systems stay accurate and contracts and invoices can always be issued correctly
- Contributing to development and optimization projects that support emagine's continued growth
- Supporting Sales in invoice-related matters
- Contributing to optimizing standardized procedures and instructions for smooth knowledge transfer within the team
- Supporting the Contract Director with reporting
Who you are

The role calls for someone who keeps the big picture in view and owns every assignment end to end, keeping the process smooth and the results strong.
We'd love it if you:
- Have at least 2 years' experience working with detail in written material, documents and databases
- Have a natural flair for people-facing service work and understand the value of being a strong support function
- Bring drive, initiative and persistence, and are genuinely result-oriented
- Have a strong sense of discipline and structure in how you work
- Are experienced with Microsoft Office, especially Word and Excel
- Have a sharp eye for detail without losing sight of the overview
- Communicate professionally in English (essential across all four markets), with German language skills a strong advantage given our DE market coverage
- Bring an outgoing, service-minded personality with strong communication skills
- Are flexible and know how to prioritize
