Business Systems and IT Services Manager
Middleburg Communities · Vienna, VA, USA
Middleburg Communities, a vertically integrated real estate investment, development, construction, and management firm, is hiring a Business Technology Operations Manager based in Vienna, VA. This role owns day-to-day technology operations across 250+ employees, three corporate offices, ~20 apartment communities, and active construction sites — covering device lifecycle, hardware, site technology, asset records, procurement, telecom, and vendor/MSP coordination.
This is a growth role. The CTO sets standards and directly mentors this position, with the expectation that scope, autonomy, and strategic involvement will expand significantly as the person demonstrates judgment and initiative. We're specifically looking for someone early in their career — ideally out of a technical master's program or with 1-2 years of professional experience — who combines real technical aptitude with strong business instincts, a great attitude, and genuine curiosity about how the business operates. Roughly 30% travel is required, and strong interpersonal skills for face-to-face support are weighted as heavily as technical ability.
This role starts with hands-on execution of day-to-day technology operations under close CTO guidance. As you build trust and demonstrate judgment, we expect your scope to expand into deeper business systems, vendor strategy, and cross-functional project ownership.
Essential Duties and Responsibilities:
- Partner with the CTO on cost analysis, vendor evaluation, and process improvement — a deliberate path toward broader operations and strategy responsibility, not just execution
- Own the full lifecycle of company-issued technology: configuration, deployment, maintenance, repair, refresh, and retirement
- Perform hands-on hardware work — upgrades, component replacement, imaging, peripheral and workstation setup
- Administer user accounts, group membership, and access within defined boundaries and approval processes
- Work with the managed services provider to keep devices current on patching, updates, and security agent compliance
- Maintain conference room, presentation, and shared-office technology
- Execute onboarding, transfers, and offboarding with People & Culture and hiring managers — equipment, accounts, access, device recovery, and account deactivation
- Provide responsive, patient technology support to team members at all locations, including leadership, firm meetings, and events
- Maintain a trustworthy technology asset inventory including tagging, physical audits, and reporting
- Coordinate day-to-day with the support partner and hardware, carrier, and service vendors; drive tickets and escalations to closure
- Maintain runbooks, checklists, configuration records, and standard procedures
- Travel (~30%) to offices, communities, and construction sites to deploy, support, and document technology
- Build and maintain site-level records of network/wireless hardware, connectivity, phone systems, access control and badging, cameras, package and kiosk technology
- Prepare purchase requests, quotes, and orders; coordinate delivery, warranty claims, and returns
- Lead or support RFP, quote comparison, and vendor selection processes for hardware, telecom, and technology services — defining requirements, soliciting bids, evaluating proposals, and presenting recommendations to the CTO & CFO
- Manage day-to-day vendor relationships and performance across hardware, carrier, MSP, and service providers; hold vendors accountable to SLAs and contract terms
- Administer cellular service plans and connected device programs: activations, transfers, renewals, plan changes, usage review
- Track licensing, subscriptions, and renewals; support monthly allocation of technology and telecom costs across business units and properties; reconcile invoices and surface savings
- Support audit and compliance efforts with the CTO: insurance questionnaires, investor/lender diligence, access reviews
- Support new community openings, office expansions, and location technology projects
- Administer and monitor site network equipment under CTO standards; verify backup, remote access, and continuity processes are working
- Identify recurring problems and repetitive manual work and propose improvements
Knowledge and Experience:
- Bachelor's or Master's degree in Information Technology, Computer Science, MIS, Business, or a related technical field; recent graduates of technical master's programs are strongly encouraged to apply, or equivalent of 5-10 years of related experience
- Working knowledge of business computers, mobile devices, and workplace technology, including hardware troubleshooting, upgrades, and imaging
- Foundational understanding of networking concepts — IP addressing, DNS, DHCP, wireless — and interest in developing site-level connectivity troubleshooting skills
- Foundational understanding of security hygiene: access control, MFA, patching, least privilege, phishing awareness
- Interest in developing vendor management and sourcing skills — comparing proposals, negotiating terms, and evaluating total cost of ownership for technology purchases
- Strong intellectual curiosity and genuine interest in learning how the business operates — not just the technology, but why decisions are made the way they are
- Eagerness to be mentored directly by the CTO and to grow from tactical execution into higher-level operations and strategy responsibility over time
- Comfortable being early in career — humble, coachable, and motivated to prove yourself rather than arrive with a fixed playbook
- Strong organization and follow-through; closes loops without reminders
- Patient, approachable, calm-under-pressure interpersonal manner; able to explain technology clearly to all levels
- Valid driver's license, reliable transportation, and ability to travel approximately 30%
- Ability to lift and move computer/network equipment up to 50 pounds, with or without reasonable accommodation
