The Executive Assistant, Office of the President, provides high-level administrative and operational support to the President and designated members of the President’s Cabinet. Reporting to the University President and the Chief of Staff, this position plays a central role in coordinating the day-to-day operations of the President’s Office, supporting executive priorities, facilitating Board of Trustees activities, and ensuring effective communication and follow-through across senior leadership.
The Executive Assistant serves as a trusted administrative partner to university leadership and works with a high degree of discretion, judgment, responsiveness, and confidentiality.
Full-time, 12 month, Exempt position
Duties and Responsibilities:
• Provide high-level administrative support to the President and designated Cabinet members, as assigned by the President and Chief of Staff.
• Manage complex calendars, meeting schedules, travel arrangements, itineraries, related events, and executive logistics.
• Coordinate the day-to-day administrative operations of the Office of the President.
• Serve as an administrative liaison among the President, Chief of Staff, Cabinet members, Board of Trustees, and internal and external constituents.
• Prepare meeting materials, agendas, briefing documents, presentations, correspondence, and follow-up items for senior leaders.
• Coordinate and track action items and priorities arising from Cabinet and other executive-level meetings.
• Support the administrative coordination of Board of Trustees meetings, committee meetings, materials, records, minutes, communications, and manage board relations.
• Coordinate executive participation in university events, donor engagements, community activities, and other institutional functions.
• Support special projects and institutional initiatives led by the President, Chief of Staff, or Cabinet.
• Coordinate executive office budgets, purchasing, and routine administrative processes in partnership with the appropriate university departments.
• Maintain confidential executive records and information with discretion.
• Perform other duties consistent with executive-level administrative support and the responsibilities of the Office of the President. Coordinate the operations and administrative functions of the President’s Office and serve as liaison between the President and the internal and external constituencies of the University;
• Serve as liaison between president/university and various higher education and/or Methodist organizations (NCICU, GBGM, NASCUMC, CIC, UMHEF, etc.);
• Understands – and is continuously learning how to – leverage technology for the efficient operation of the university, from basic (Microsoft) platforms used university-wide for communication and calendaring, Blackbaud/Raiser’s Edge to improve the president’s participation in Pfeiffer’s fund-raising and friend-raising operations, to emerging technologies and platforms that will maximize efficiency and the office’s ability to prioritize action items.

Supervisory Responsibilities:
May include supervision of student workers.
Work Environment:
- Position may occasionally require evening or weekend duty.
- Ability to multitask and prioritize in a fast-paced environment is crucial.
- Incumbent must exercise tact, diplomacy, confidentiality, and discernment in communicating with internal and external constituents.
- Minimal local travel required.
