Summary: The Accounting Assistant provides administrative and transactional support to the Accounting team by assisting with daily bookkeeping, financial recordkeeping, reconciliations, invoice processing, and other accounting activities. This position is responsible for accurately entering and maintaining financial information, organizing supporting documentation, and assisting with month-end and year-end processes. The Accounting Assistant works closely with internal departments, vendors, and members of the Accounting team to help ensure financial records are accurate, complete, and properly documented.
Essential Duties and Responsibilities include the following. Other responsibilities may be assigned.
- Accurately records daily financial transactions and routine journal entries in the Company’s accounting software, applying basic accounting principles and appropriate financial documentation.
- Processes invoices and maintains accurate billing and payment records with strong attention to detail.
- Reconciles account statements, credit card transactions, expense reports, and other financial records using mathematical and analytical skills to identify and resolve discrepancies.
- Reviews financial information and supporting documentation for accuracy, completeness, and proper recordkeeping.
- Uses spreadsheets, formulas, and other accounting tools to enter, organize, reconcile, and analyze financial data.
- Organizes and maintains financial records and supporting documentation for transactions, audits, reviews, and reporting.
- Communicates with vendors and internal departments to research and resolve billing, payment, and documentation discrepancies.
- Plans and prioritizes assigned accounting activities to meet daily, month-end, year-end, and other established deadlines.
- Supports month-end and year-end closing procedures by preparing documentation, completing assigned reconciliations and entries, and assisting with financial reporting.
- Maintains confidentiality of Company, employee, vendor, and financial information.
Non-Essential Duties and Responsibilities
- Assists with special projects and administrative tasks as needed.
- Provides backup support to Accounting and Finance team members.
- Assists with organizing and archiving financial records.
- Participates in department training and process-improvement activities.
· Education and/or Experience: High school diploma or equivalent required with 3+ years' experience; Associate degree (A. A.) or equivalent from a two-year college in accounting or finance preferred; previous experience in accounting, bookkeeping, accounts payable, or accounts receivable position preferred.
