Chief of Staff to CEO, Operations

ivai · Hybrid (Los Angeles, CA) · hybrid

Location: Hybrid, Los Angeles, 2 to 3 days onsite/week

enables the world's most iconic businesses and executives with AI-powered decision making via a global AI platform and an exceptional team. We are a US company based in Los Angeles, and we are looking for a Chief of Staff to the CEO to build the operating layer between the CEO's direction and the company's execution.

This is an operations role, not an advisory one. You take the stream of commercial and technical priorities, filter and structure it, and convert what survives into sequenced, owned, resourced work. You run the cadence that keeps the executive team pointed at the same priorities, and you hold the through-line on the work that crosses functions.

The first order of business is supporting our revenue operations team. Our selling capacity exists; the systems, data, and process that let it scale without executive involvement are where support is needed. In your first two quarters you will get involved in the CRM, the funnel data, commercial reporting, and the administrative spine under contracts and payments, and you will build the automations that take recurring manual work off the people who should be selling. As that function stabilizes, the role broadens to the wider operating agenda of the company.

You are technically literate in data products and applied AI and hands-on in commercial tooling. You do not write production code and you do not own a codebase. You are measured on execution throughput.

What You'll Own- Revenue operations support, first and hands-on. CRM: architecture, funnel stages, data hygiene, integrations, and reporting. Produce pipeline and forecast visibility the executive team relies on without asking for a rebuild each time.

- Commercial administration. Consolidate contracts, purchase orders, payment status, and order forms into one tracked system with a named owner, and build deal desk basics.

- Automation and AI workflow build. Ship automated and agentic workflows inside the commercial funnel. Reduce manual response, follow-up, and reporting work rather than absorbing it.

- Operating cadence. Run the planning and review rhythm across the executive team. Own the meeting structure, the decision log, and the follow-through.

- Priority triage and sequencing. Maintain and prioritize the CEO's standing backlog of commercial and technical ideas. Act as the first filter on feasibility, resourcing, and risk before anything reaches a delivery team.

- Cross-functional connective tissue. Hold the seam between the CEO, CRO, CTO, and COO, including the escalation path between sales, product, and engineering so client issues route correctly and close out. Kill duplicate effort across teams.

- CEO preparation and proxy. Prepare the CEO for high-stakes client and partner conversations, and represent their position in rooms they cannot attend.

- Special projects. Take ambiguous, high-stakes problems from idea to finished outcome, then hand them to a permanent owner rather than accumulating them.

How Success Is MeasuredFirst 90 days- A single source of truth on pipeline and funnel status, live and trusted by the executive team.

- Contracts, purchase orders, and payment status consolidated into one system with a named owner and a reporting cadence.

- Two automations in production that remove recurring manual work from the commercial team.

- A documented escalation path between sales, product, and engineering, with owners named.

- A functioning operating cadence across the executive team, with decisions logged and tracked to close.

- Working familiarity with all active client accounts and their delivery status.

- Trusted working relationships with the CRO, CTO, and COO.

What We're Looking For- 5 to 8 years across chief of staff, business operations, strategy and operations, management consulting, or technical program management, including time inside an agency, client-services, or B2B software business.

- Hands-on CRM ownership, HubSpot preferred. You have personally built workflows, reports, and data models rather than directing others to.

- A track record standing up a processed optimized and automated revenue operations or business operations function rather than maintaining one. You can name what did not exist before you arrived and what it produced after.

- Ownership of a commercial metric, for example forecast accuracy, pipeline hygiene, sales cycle time, or contract turnaround, with examples of how you moved it.

- You have personally built automation or agentic AI workflows in a commercial context. Evaluating tools is not the same as shipping with them.

- Has run an operating cadence for a leadership team and can describe the mechanics.

- Comfortable enough with data systems and applied AI to assess feasibility and ask the right questions, without needing to build.

- High tolerance for ambiguity and a record of building structure where none existed.

- Strong written communication, including experience producing the brief that makes a decision possible.

Explicitly not this role: an executive assistant with an upgraded title, a product manager looking to own a product, a seller who wants a book of business, a CRM administrator working a ticket queue, or a strategist who stops at the recommendation.
