About the role
We are seeking an IT Coordinator to join our team at Kalgin Global Logistics in Banksmeadow, NSW on a full-time basis. This role is Kalgin's internal owner of day-to-day IT service. Our managed service provider and other specialist vendors resolve the technical issues, and you make sure they do it on time and to standard. You will be the point of contact for IT requests across Australia, New Zealand, Fiji and PNG, manage onboarding and offboarding, look after hardware, licences and vendor contracts, and coordinate IT projects such as office setups, connectivity upgrades and security improvements. You will also run the access reviews and patching cadence that support our compliance obligations, and keep the business informed during incidents and maintenance. You will report to the Group Solutions Manager.
What you'll be doing
- Acting as the point of contact for IT requests across Australia, New Zealand, Fiji and PNG
- Managing incidents, requests and escalations with our managed service provider and other vendors, and holding them to agreed response and resolution times
- Monitoring ticket backlogs, SLA performance and user satisfaction, and reporting on trends and recurring issues
- Keeping the business informed during incidents and planned maintenance
- Managing onboarding and offboarding, including hardware allocation and return, account setup and deactivation, access changes and licence assignment
- Administering Microsoft 365, including user accounts, Teams, SharePoint, OneDrive and Exchange
- Reviewing user accounts and licence utilisation regularly so access and costs match business needs
- Coordinating the purchase, deployment and replacement of laptops, peripherals and mobile devices, and maintaining the asset register
- Managing relationships with telecommunications, internet and managed service providers, including a contract expiry register and ongoing cost review
- Running user access reviews and patch cadence tracking on a set schedule to support our audit and compliance obligations
- Coordinating IT projects such as office openings, site relocations, connectivity upgrades and equipment rollouts
- Supporting CargoWise and other business systems alongside operational teams and subject matter experts
- Supporting the adoption of new technology, automation and AI, and readiness for expansion into new markets
What we're looking for
- 1-3+ years in an IT coordination, service delivery management, service desk or similar IT operations role
- Working knowledge of Microsoft 365 administration, including Teams, SharePoint, OneDrive and Exchange
- Familiarity with IT service management concepts such as tickets, SLAs and incident and problem management
- Exposure to IT asset and licence management
- Strong organisational skills, and comfort working in trackers, calendars and follow-ups
- Confident communication, with the ability to hold external vendors accountable without damaging the relationship
- A proactive, persistent approach that follows issues through to closure
- A process-minded approach, with comfort building structure where none exists
- Comfort working across multiple countries and time zones
Nice to have
- Exposure to ITSM platforms and familiarity with the ITIL framework
- A basic understanding of cybersecurity practices, such as MFA and endpoint compliance
- Experience working alongside a managed service provider from the client side
- Experience supporting office openings, relocations or similar site projects
- Exposure to CargoWise or other line-of-business systems
- Experience coordinating with remote or international stakeholders
