Position Summary:

Working under the oversight of the Director, Clinical Excellence and in collaboration with Clinical Excellence leadership and other directors, the Program Coordinator is responsible for supporting the vision, planning and implementation of the priority work of the clinical excellence program. Responsibilities include ensuring the success of program-wide events, implementation strategies, multi-stakeholder clinical leader education initiatives, day-to-day operations, data collection and reporting. As part of the larger team, this position will also develop implementation-ready documents/toolkits, data collection/reporting mechanisms, project management and tracking tools.

Essential Duties and Responsibilities:

- Support grants management and reporting, including deliverables, budget tracking and drawing down funds.

- Manage wide-scale health care engagement and outreach to ensure maximum participation with established and new partners; work with clinical excellence leadership and directors to plan and develop these activities and programs.

- Project lead for production of annual clinical excellence report and annual rural member value report.

- Create, maintain and manage learning management system for initiative offerings, including Rural Nurse Leadership Program.

- Lead clinical excellence website updates; ensuring content owners keep their areas current and working with Communications staff as indicated.

- Provide ongoing, high-quality project management and support for specific initiatives and activities, including Medicaid Quality Incentive program.

- Maintain accountability for and regularly provide reports on established program performance goals.

- Enhance and design marketing and training materials as needed for safety and quality priority work.

- Act as liaison between clinical excellence and membership/communications departments by: website updates, event coordination, annual reports, creating educational materials and videos.

- Develop new processes and tools to track progress towards achieving program/project goals.

- Create and execute processes to support members, speakers, and other internal and external stakeholders to achieve the goals of the clinical excellence program.

- Provide meticulous project management, problem solving, and ongoing support to clinical excellence leadership and directors.

- Managing evaluation, project management, and certifications for Continuing Education Credit Hours (CECH), including internal and external applications.

- Provide feedback for rapid cycle change for the clinical excellence program with a vision for growth opportunities

- With others in the department, plan, coordinate, and facilitate collaborative learning events with other organizations, including virtual and in person learning collaboratives.

- Coordinate meetings, work plans, presentations, trainings, reports, and other work as needed.

- Participate in the development and organization of collateral pieces and other marketing materials: work with team(s) and communications staff to optimize and organize the best representation of the WSHA clinical excellence program and work product to members and the public.

- Coordinate registration efforts, including website, email, and registration platforms.

- Complete event-related logistical planning tasks as assigned.

- Act as an event-related technology expert and trainer for internal colleagues and external speakers.

- Track member registration and participation data to drive maximum engagement.

- Provide technical assistance to members for login, password, and registration-related inquiries for clinical excellence offerings.

Supervisory Responsibilities:

This position does not have supervisory responsibilities.

Qualifications:

Education/Experience:

Bachelor’s Degree required, with 2-5 years of experience in a health care-focused setting, preferably in clinical related areas and project management. Demonstrated knowledge of program development, member or client relations, and/or complex project management required.

- Demonstrate project management abilities.

- Exceptional written and verbal communication skills, with the ability to quickly connect and effectively interact with diverse audiences.

- Comfortable interacting with internal executive level and staff members as well as external contacts including physicians, nurses, administrators, and executives.

- Proven ability to develop, meet, and exceed specific performance metrics.

- Comfortable giving and receiving feedback in a constructive manner to colleagues and supervisors.

- Must be able to effectively manage multiple and complex projects simultaneously, adhere to strict deadlines and compressed schedules, and thrive in a constantly changing environment.

- Proven history of effectively working both independently and on a team.

- Ability to make presentations and conduct training for internal stakeholders.

Computer Skills:

- Proficiency with computers and software is required, including Microsoft Office Suite (Outlook, Word, Excel, Teams, OneDrive, Forms, SharePoint and PowerPoint).

- Proficiency preferred with Zoom, Smartsheet®, Adobe, Canva or other desktop publishing tools

- Experience with a learning management system preferred.
