JOB DESCRIPTION SUMMARY
The Agua Caliente Band of Cahuilla Indians (ACBCI) seeks a Grants Program Coordinator to support day-to-day operations of the Grants Department. The Grants Program Coordinator serves as the operational backbone of the department, coordinating grant-related activities across tribal departments, supporting application development, maintaining grant tracking systems, and ensuring smooth communication between the Grants Department and tribal project managers. This position works under the direction of the Director of Grants Management and plays a key role in keeping the department’s growing portfolio organized and running efficiently.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Coordinate grant-related activities across tribal departments, serving as the primary point of contact for departmental project managers on active awards.
- Maintain and update the department’s grant tracking system (Euna Grants platform), ensuring all awards, deadlines, contacts, and status information are current.
- Support the application development process by gathering departmental data, program narratives, and supporting documentation for grant proposals.
- Assist the Director of Grants Management in researching new funding opportunities and maintaining a pipeline of prospective grant sources.
- Coordinate the due-from account tracking process, including following up with departments on open requisitions and unresolved balances.
- Prepare and distribute internal grant status updates, deadline reminders, and award notifications to relevant tribal departments.
- Maintain organized digital and physical grant files for all active, pending, and closed awards in accordance with records retention requirements.
- Assist in coordinating grant award kick-off meetings with tribal departments, ensuring project managers understand award conditions and reporting obligations.
- Support scheduling, agenda preparation, and follow-up for Grants Department meetings with tribal departments, federal agencies, and other stakeholders.
- Assist in training tribal department staff on the Euna Grants platform and grant management best practices.
- Provide administrative support to the Director of Grants Management, including correspondence, scheduling, and document preparation.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position does not carry direct supervisory responsibility. The incumbent works collaboratively within the Grants Department under the direction of the Director of Grants Management and contributes to team-based coordination across tribal departments.
