Billing Portal Coordinator

WSP is currently initiating a search for a Billing Portal Coordinator for our Ephrata PA office. Be involved in projects with our Billing Services Team and be a part of a growing organization that meets our client’s objectives and solves their challenges.
Billing Submission Specialist, works under general supervision and provides billing and administrative support to Regional Project teams. The primary focus of this position is submitting invoices and supporting documentation through client portals, tracking submission status, and assisting with related administrative activities. The position will also provide billing support as needed.
Job Duties:
- Submit final invoices and required supporting documentation through various client billing portals.
- Monitor portal submissions and assist with resolving submission errors, rejected invoices, or other administrative issues.
- Maintain accurate records of invoice submissions and statuses and assist with follow-up as needed.
- Provide general administrative support to the Billing team and Regional Project teams.
- Assist with the preparation of client-ready invoices using Oracle.
- Under the direction of the project team, make basic invoice revisions and adjustments as needed.
- Compile and provide supporting documentation (timesheets, expense reports, vendor and subcontractor invoices, etc) as required by contract.
- Reconcile Oracle with either system generated or spreadsheet-based invoices prior to finalizing draft invoice
- Other duties as assigned
Qualifications:
- High School diploma
- Minimum of 1-3 years of relevant experience
- Must have good organizational and communication skills
- Must have good attention to detail
- Basic excel skills
- Basic understanding of accounting principles, project accounting and invoicing
Preferred:
- Associates degree
- Previous experience with accounting software and/or Oracle
- Previous experience with client invoice portals, electronic invoice submission systems, or similar online platforms.
