Job Summary

The Development Operations Coordinator is an integral part of the Resource Development team and reports to the Director of Donor Engagement. This position provides the administrative, data, research, donor-service, and logistical support that keeps development activities organized and responsive. The ideal candidate is highly organized, service-oriented, and comfortable coordinating details across multiple projects and teams.

Core Responsibilities

- Create and send gift acknowledgements, tax documentation, and other mailed materials requested by donors.

- Create invoices, track payments, and conduct routine sponsor and donor follow-up.

- Provide backup gift entry, record maintenance, list preparation, and other data support under the direction of the Data Management Director.

- Conduct prospect research and support donor pipeline and portfolio tracking, documenting relevant findings in RE NXT.

- Assist in producing and/or distributing routine board, fundraising, campaign, pipeline, and other internal reports.

- Review daily gifts; coordinate acknowledgment and stewardship tasks; and escalate significant, sensitive, or time-sensitive gifts as appropriate.

- Respond to routine donor questions about gifts, receipts, invoices, and recognition, providing timely and helpful customer service.

- Coordinate administration of donor recognition groups, as well as stewardship mailings, gifts, and fulfillment.

- Support events staff with logistics for donor, fundraising, recognition, and volunteer events, including registration, vendors, supplies, volunteers, and day-of implementation.

- Support silent auction procurement, item tracking, documentation, fulfillment, and other logistics under the direction of the Events Manager.

- Coordinate raffle logistics, drawings, contractor materials, fulfillment, tracking, and participant support under the direction of the Director of Donor Engagement.

- Maintain department supplies, project schedules, inventory, and operational documentation.

Supervisory Responsibilities

- This position does not have any supervisory responsibilities.

Minimum Qualifications

- High school diploma, GED, or an equivalent combination of education and relevant experience.

- At least one year of relevant experience in nonprofit development, operations, administration, events, customer service, or a related area. Relevant internships, volunteer service, and part-time work may count toward this experience.

- Strong organizational skills and the ability to manage details, deadlines, and multiple priorities.

- Comfort learning and using databases, spreadsheets, and other business systems.

- Excellent interpersonal and customer service skills, including the ability to communicate clearly with donors, colleagues, vendors, and other partners.

- Exceptional attention to detail and commitment to accurate, complete, and confidential recordkeeping.

- Resourceful, proactive, and adaptable, with the ability to work independently and collaboratively, exercise sound judgment, and follow through.

Preferred Qualifications

- Strong organizational and project coordination skills, with the ability to manage multiple priorities, deadlines, and details.

- Proficiency with Microsoft Office 365, particularly Word, Excel, and Outlook.

- Experience with Raiser’s Edge NXT is strongly preferred. Experience with another fundraising CRM is a plus.

- Experience with prospect research, fundraising databases, reporting, data entry, invoicing, event coordination, or donor service.

Conditions of Employment

- The position requires passing criminal and driving records investigations, and reference checks.

- The position must possess a valid driver's license and the ability to be insured under the company's insurance policy.

- The position will primarily work indoors. Accordingly, the ability to use a variety of equipment including janitorial and office equipment is required.

- Some job duties require the ability to stand for extended periods, kneel, reach, bend, and lift objects weighing in excess of 25 lbs. Outdoor work and moderate physically demanding activities may be required on occasion.

- Strong English proficiency is required for this position to ensure effective communication with staff, club members, and families, as well as to follow safety and procedural guidelines accurately.

In-Office and Remote Work

This position works primarily at the Program Support Center but may occasionally work from other BGCMD facilities as necessary. BGCMD employees may work from home one day per week between Tuesday through Thursday. All remote work and other flexible work arrangements must be approved prior to implementation.
