Project Manager
About the Role
The Project Manager manages all aspects of projects, including budgeting, proposal development, execution, reporting, and preparation for invoicing. The role includes performing and coordinating field investigations, overseeing field personnel, managing project schedules and budgets, and maintaining client relationships.
Reporting to the Local Director, the Project Manager meets or exceeds individual targets and contributes to the office meeting or exceeding its cumulative targets.
Responsibilities
Project Management and Financial Performance

Meet or exceed individual billable-hours and billable-revenue targets.

Assemble cost estimates for proposals and enter them into the Project Planning module of the ERP system.

Review project scopes and select appropriate tasks and deliverables.

Establish project schedules and assign appropriate, capable staff.

Monitor project budgets throughout the project lifecycle to ensure costs remain on track; proactively make adjustments as needed and keep clients updated.

Maintain work-in-progress (WIP) aging within an acceptable range, with less than 15% of WIP exceeding 45 days.

Review WIP on projects weekly and request invoices frequently.

Follow established procedures for progress billing and final project closeout invoicing.

Assist the Accounting Department with collections or invoicing issues when requested.

Enter time and expenses daily.

Save all project-related documents in the electronic project file.
Fieldwork and Technical Delivery

Perform and/or coordinate field investigations.

Oversee field personnel activity and work quality, and provide feedback to the team involved.

Select, rent, or borrow the equipment necessary for projects.

Prepare and review project reports.
-
Maintain acceptable report turnaround times to ensure timely deliverables.

Maintain compliance with internal quality assurance and quality control (QA/QC) requirements.
Client Service and Business Development

Field calls from prospective and existing clients.

Follow established procedures for opening new projects and communicate all required information.

Update and maintain the A.R.C. for open projects with current stages and associated due dates.

Monitor open opportunities in the ERP system and follow up with clients accordingly.

Maintain relationships with focus clients and update relevant information in the ERP system.

Attend association meetings and client meetings.

Arrange and attend presentation opportunities.

Refer local opportunities to, and/or engage, the Business Development team.

Assist in preparing marketing resources, including project summaries.
Team Development and Professional Growth

Attend required internal and external technical training.

Assist in staff development.

Maintain technical certifications.
Experience, Education, and Certifications
-
Minimum of eight years of experience working in the field and/or successfully managing large, complex projects in at least one of the company’s service lines.

At least two years of working knowledge of industrial hygiene, environmental health and safety concepts, and the use of common indoor environmental quality (IEQ) field instruments is preferred.

Bachelor’s degree in industrial hygiene, health and safety, biological science, or physical science preferred.

Maintain current certifications for the type of work being conducted.

Flexibility in work schedule and willingness to travel to different project locations as needed.

Ability to use and quickly learn computer programs, including Microsoft Word and Excel.
