Mission

The mission of the Beta Academy 504 Case Manager is to manage 504 programs with excellence, support a culture of “joyful rigor”, and develop scholars and leaders who can contribute on a community, national, and international level.

Purpose

The Section 504 Case Manager is responsible for coordinating and supporting the implementation of the district’s Section 504 program and ensuring eligible scholars receive appropriate accommodations and services in accordance with Section 504 of the Rehabilitation Act of 1973 and district procedures.

Job Responsibilities

- Serve as the campus Section 504 Case Manager and primary resource for scholars receiving or being considered for Section 504 services.

- Coordinate the Section 504 referral, evaluation, eligibility, placement, and review process, including gathering relevant educational, medical, behavioral, attendance, assessment, and teacher information for consideration by the Section 504 Committee.

- Schedule, prepare for, facilitate, and document initial, annual/periodic review, reevaluation, and other Section 504 meetings within required timelines.

- Develop and maintain accurate Section 504 Accommodation Plans based on decisions made by the Section 504 Committee.

- Ensure parents/guardians receive required notices, procedural safeguards, meeting documentation, and copies of Section 504 plans in accordance with applicable requirements and district procedures.

- Maintain complete, accurate, confidential, and up-to-date Section 504 records and documentation for all scholars served under Section 504.

- Maintain and update the Section 504 roster and ensure applicable information is accurately entered and maintained in PEIMS, SuccessEd, and other district data systems.

- Distribute Section 504 Accommodation Plans to appropriate staff and ensure teachers and other personnel have access to the accommodations they are responsible for implementing.

- Provide ongoing training, consultation, and technical assistance to teachers, administrators, and other campus staff regarding Section 504 requirements, scholar accommodations, documentation, and implementation.

- Schedule and facilitate PLCs and/or staff training regarding Section 504 accommodations and implementation.

- Monitor implementation of Section 504 Accommodation Plans and collaborate with teachers and administrators to address concerns regarding implementation, effectiveness, or scholar access.

- Monitor the academic, behavioral, attendance, and functional progress of scholars receiving Section 504 services and initiate a Section 504 Committee review when data indicate that accommodations or services may need to be reconsidered.

- Collaborate with parents/guardians, teachers, administrators, counselors, nurses, testing personnel, and other appropriate staff to support scholars receiving Section 504 services.

- Collaborate with the Special Education and Speech departments regarding scholars who are referred for evaluation, are suspected of having a disability requiring special education services, or are otherwise served across programs.

- Participate in ARD/IEP meetings, intervention meetings, student support meetings, or other multidisciplinary meetings when appropriate for scholars currently or previously served through Section 504.

- Coordinate with campus and district testing personnel to ensure eligible scholars receive approved Section 504 testing accommodations on district and state assessments, as applicable.

- Assist with accommodation requests and required documentation for College Board and other applicable assessments, when appropriate.

- Support campus procedures for identifying scholars who may require consideration under Section 504 and provide guidance regarding appropriate referrals.

- Ensure that Section 504 decisions are made by an appropriately constituted Section 504 Committee based on multiple sources of relevant information and that decisions are properly documented.

- Assist with Section 504 considerations related to discipline and manifestation determinations, when applicable, and ensure required Section 504 procedures are followed.

- Review Section 504 records for scholars who transfer into or out of the district and coordinate appropriate implementation, review, and transfer of records.

- Ensure scholar documents are appropriately archived, maintained, copied, and distributed to authorized individuals in accordance with district procedures and confidentiality requirements.

- Maintain organized compliance records and assist with district, state, or federal monitoring, audits, and record requests related to Section 504.

- Participate in faculty meetings, professional development, educational conferences, and training related to Section 504, disability accommodations, and scholar support.

- Collaborate with campus and district leadership to evaluate Section 504 processes, identify areas of need, and support consistent implementation of Section 504 procedures across the district.

- Maintain current knowledge of federal and state guidance, district policies, and procedures related to Section 504 and communicate relevant updates to appropriate staff.

- Perform other duties related to the implementation and administration of the district’s Section 504 program as assigned.

- Provide small-group tutorials to approximately 6 scholars, ensuring they achieve grade-level academic goals as assigned.
