Position Overview:
The Office Manager role is responsible for managing office operations and procedures. This role is responsible for creating and maintaining a welcoming and professional Office experience and is the first point of contact for our internal and external customers.
Key Responsibilities:
Office Administration
- Maintain office efficiency by planning and implementing office systems.
- Design filing systems; implement & monitor.
- Review and approve office supply requisitions, equipment procurement, and seasonal contracts.
- Manage office supply inventory.
- Plan and coordinate office events
- Look for areas of improvement throughout the office, bring ideas and areas of improvement to leadership for approval.
- Maintain a welcoming front office area for our internal and external customers.
- Switchboard operation, qualifying the caller, and accurately transferring the caller.
- Mail distribution and metering.
- Managing incoming mail by sorting, opening and dividing checks and remittances.
- Maintenance and distribution of company lists.
- Responsible for sorting invoices with specifics to credit card, COD, credits, and mail for proper payment methods.
- Responsible for sorting statements on the 1st of each month.
- Other duties as assigned.
Executive Assistant
- Managing CEO’s calendar and updating as required
- Maintaining and effectively taking meeting minutes as requested
- Arranging travel and accommodations for traveling Anchor employees (flights, hotels, rental cars)
- Signing up for events as directed (PIM, NAWBO, etc.)
- Facilitate employee committees for future events to include holiday parties and the annual Customer Appreciation event coordination.
- Responsible for communicating event details across all locations and with Department Heads as needed.
- Coordinate the sending of floral or other arrangements on behalf of Anchor Paper.
Apparel & Swag
- Create and streamline a policy and procedure for ordering swag and apparel.
- Manage inventory and maintain a clean and orderly swag and apparel storage area.
