Director of Finance – Job PostingPractice by Numbers | Finance | Full-time | Greater Seattle Area, WA | Reports to the CEO

About Practice by NumbersPractice by Numbers is an all-in-one business platform for dental practices. We use data, automation, and AI to help practices grow, run more efficiently, and take better care of their patients. About 2,000 practices already run on us, and there are more than 100,000 independent practices in the U.S. still to win.

We're a profitable, sales-led vertical SaaS company approaching $20M in annual revenue, mostly on monthly subscriptions billed through Stripe. Our teams work out of the Seattle area and our engineering hub in India.

The RoleWe're hiring a Director of Finance to build our finance function and make it stable enough to carry our next stage of growth. You'll turn a set of working pieces into a real operation: a reliable monthly close, policies and controls people actually follow, a forecast leadership trusts, and the cash discipline to fund what we build.

This is a startup role on a lean team, and it's hands-on. You'll set the direction and do the work yourself, from reconciling Stripe payouts to walking the CEO through the monthly numbers. You'll start with outsourced partners and add headcount only when the business needs it.

You'll do well here if you've built a finance function at a vertical SaaS company before, you're biased toward action, and you move projects from idea to done without waiting for a perfect plan. You'll also be the finance voice with potential investors, so you've been through a fundraise or a transaction before.

What You'll DoBuild the finance function- Design and stand up the finance operating model: who owns what, the close calendar, and the weekly, monthly, and quarterly cadence

- Write and roll out finance policies and procedures, including approval limits, spend and expense, vendor management, and revenue recognition

- Put practical internal controls in place that fit a lean team and scale as we grow

- Document SOPs so the work runs the same way every month, whoever does it

- Hire and manage outsourced partners now, and build the in-house team when the business is ready

Accounting and close- Own the monthly close and deliver accurate, on-time financial statements

- Keep subscription revenue clean: Stripe reconciliation, refunds and credits, and revenue recognition hygiene

- Run AP, AR, and collections, and manage working capital

- Support cross-border accounting for our India operations with our outside advisors

Global budgeting, OP1 planning, and decision support- Lead the annual operating plan (OP1) end to end: set the calendar, templates, and planning assumptions, and run the process with every function leader

- Consolidate department plans into one global plan covering revenue, headcount, compensation, vendor spend, and cash, and take it through CEO approval

- Own the global budget across our US and India entities, including currency assumptions, in-country statutory costs, and intercompany cost allocations

- Partner with the People team on global headcount and compensation planning, including merit cycles, benefits renewals, and payroll taxes in both countries

- Review and approve the budget for each new role through our quarterly recruitment planning process

- Run monthly budget-vs-actual reviews with each department head and flag variances early with a recommended action

- Lead quarterly re-forecasts and mid-year re-plans as the business changes

- Build and run a driver-based model that ties bookings to MRR/ARR, revenue, and cash, and tie hiring and spend decisions to ROI and cash impact

- Produce a monthly KPI pack for leadership and turn the numbers into clear recommendations

- Model scenarios for hiring pace, pricing changes, and churn

Investors, fundraising, and transactions- Speak with potential investors and present our financial story, model, and metrics with confidence

- Lead the finance workstream in a fundraise or transaction: the data room, investor model, and diligence requests

- Own investor updates and financial reporting to investors

- Keep the company investor-ready, with clean financials and metrics that hold up under diligence

Revenue and go-to-market finance- Own commission plan calculations and make them accurate and auditable

- Set discounting guardrails and deal approval rules with Sales

- Analyze pricing, packaging, and unit economics, including moving customers to annual prepay

Cash, collections, and revenue leakage- Own weekly cash visibility and collections priorities

- Reduce involuntary churn through payment failure analysis and a better dunning process

- Improve DSO with consistent follow-up and escalation

Tax and compliance- Lead multi-state sales tax compliance with our outside CPA/SALT firm: nexus review, registrations, and the filing calendar

- Partner with HR on payroll accuracy, multi-state payroll tax, and benefits funding

- Prepare the company for financial audits when needed

Systems- Own the finance stack and data integrity across Stripe, our CRM, accounting, and reporting tools

- Automate the path from billing to accounting to KPI reporting

What Success Looks LikeFirst 90 days- You've mapped how finance runs today, closed the gaps, and published a close calendar with a clear owner for every step

- The monthly close is predictable, and leadership gets clean financial statements on a set date

- Stripe reconciliations are tight, and revenue matches between billing and the books

- Core policies are written and live: approval limits, spend and expense, and vendor onboarding

First 180 days- Leadership uses a trusted KPI pack with agreed definitions for MRR/ARR, churn, margin, cash, and sales efficiency

- A driver-based forecast tied to pipeline, churn, and headcount is updated monthly and used weekly

- An investor-ready package is in place: financial model, core metrics, and an organized data room

- Every department head in the US and India gets a monthly budget-vs-actual review

- The OP1 process, calendar, and templates are set and ready for the next planning cycle

- Commissions are accurate and auditable, and discounting guardrails are in place

- The multi-state sales tax plan is implemented with our outside firm

- Finance runs on a steady cadence: weekly cash and pipeline, a monthly pack, and quarterly planning

What You BringRequired- 8+ years of progressive finance and accounting experience, including at least 3 years leading a finance function or team

- A proven track record of building the finance function at a vertical SaaS company, taking it from limited infrastructure to a repeatable close, working controls, and reliable reporting

- Experience speaking with potential investors, and direct involvement in at least one fundraise or transaction (such as an equity raise, debt financing, or M&A), including diligence

- Experience leading the annual operating plan (OP1) and a consolidated budget across multiple entities or countries

- Experience managing expenses and budgets for India development centers, including cross-border US and India operations

- Strong command of subscription SaaS metrics: MRR/ARR, churn, cohorts, GRR/NRR, and CAC payback

- Hands-on experience with month-end close, US GAAP, and revenue recognition for subscription revenue (ASC 606)

- Experience writing finance policies and procedures and getting a company to follow them

- A roll-up-your-sleeves attitude and a track record of doing well on lean startup teams

- A bias toward action: you push projects forward, make decisions with imperfect data, and follow through

- Experience managing outside CPA, tax, and bookkeeping partners, including multi-state sales tax work

- Bachelor's degree in accounting, finance, or a related field

Nice to have- CPA

- Experience with Stripe-based subscription billing and mostly monthly plans

- Background in SMB, healthcare, or dental software

- Experience preparing a company for a financial audit

- Exposure to SOC 2 readiness
