About the Role
KitBash recently acquired ArtStation and Sketchfab and brought on a new Business Development team. As we build out how we sell across the new business units, we're looking for a freelance Salesforce Administrator to lead a modernization project in our Sales Cloud org, then stay on for lighter ongoing support. We run one org (Sales Cloud, Enterprise Edition) shared across all of our brands, with fewer than 10 users. It's lightly customized: a few custom record types, a good number of custom fields, and a handful of Flows.
We're looking for an experienced consultant to work alongside our COO to clear the cobwebs in the existing instance and get us ready to support a larger team and more complex sales motions. This work will include updating sales processes, setting up integrations with Maxio, Pandadocs, and other tools, modernizing the look and feel of the application, and working with the Business Development team to translate business requirements into working configuration
Engagement details
- This is a remote contract role, the scope of work will be split into 3 phases:- Phase 1 Discovery and design: Deliver a future-state design with scope and implementation plan.
- Phase 2 Future-state implementation: Complete development environment with change set to be approved and deployed.
- Phase 3 Ongoing support and maintenance.
What You'll Contribute
- Audit and document the current state of the org
- Set up a safe change process. We work in production only today. Stand up a sandbox and a simple deploy practice (change sets or similar), document it, and train our team to run it on their own once the engagement ends.
- Work with the Business Development team to gather and refine requirements for ArtStation/Sketchfab sales workflows, starting from their existing mockups, and turn them into production-ready configuration: record types, page layouts, fields, and Flows.
- Scope, set up, and document integrations between Salesforce and other business applications (e.g. Maxio, Pandadocs, etc.), including data mapping, sync rules, and error handling, so the team can monitor and maintain them after handoff.
- Modernize the user experience: Lightning pages, Dynamic Forms, a cleaner layout, and home pages and dashboards the sales team will actually use.
- Find repetitive manual work and automate it with Flow.
- Evaluate AppExchange apps where they'd save real time, with clear cost and tradeoff recommendations.
- Lead data cleanup: deduplication, standardizing fields, and validation rules to keep data clean going forward.
What You Bring to the Team
- 5+ years hands-on Salesforce Sales Cloud admin/consulting experience in small to mid-sized companies
- Salesforce Administrator certification required; Platform App Builder or Advanced Admin a plus
- Strong Flow skills and a declarative-first mindset. We want someone who reaches for configuration before code and says so when code is actually warranted.
- Comfortable working directly with an executive stakeholder: you explain tradeoffs plainly, push back when there's a better approach, and don't need hand-holding
- Disciplined about documentation and change control
- Bonus: experience with multi-brand orgs, B2B plus B2C sales motions, or marketplace/creator businesses
