OVERVIEW: The Assistant Membership Director serves as a key leader within the Membership Department, supporting the Director of Membership and Marketing in the leadership, management, and overall performance of the department.

This position provides direct leadership and oversight to the Membership team and is responsible for ensuring the effective execution of Membership operations, including guest registration, membership transactions, new-member onboarding, Stay & Play, Club Services, membership financial administration, real estate relations, and departmental reporting.

The Assistant Membership Director establishes priorities, monitors performance and workflow, develops employees, reinforces accountability, and ensures departmental functions are executed accurately, efficiently, and in accordance with Club standards. The position serves as an escalation point for complex member and operational matters and provides leadership continuity in the Director's absence.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Leadership & Team Management

· Provide day-to-day leadership, direction, and accountability for the team members in the Membership Department.

· Establish clear expectations, priorities, responsibilities, and service standards for the team.

· Monitor departmental workload and performance to ensure responsibilities are completed accurately, efficiently, and timely.

· Coach, develop, and provide ongoing feedback to employees; identify opportunities for cross-training and professional development.

· Address performance, service, workflow, and accountability concerns

· Build a collaborative, high-performing team culture centered on professionalism, ownership, responsiveness, and exceptional hospitality.

· Ensure appropriate staffing, coverage, communication, and coordination across Membership functions.

· Serve as a resource and escalation point for employees handling complex or sensitive member and operational matters.

Membership Operations & Service

· Provide leadership and oversight for the successful execution of the Membership Ensure departmental processes are consistently executed in accordance with Club policies, procedures, timelines, and service expectations.

· Monitor operational performance, workflow, accuracy, and service delivery across Membership functions.

· Establish appropriate controls and follow-up processes to ensure required documentation, approvals, transactions, and member requests are completed accurately and timely.

· Serve as an escalation point for complex Membership matters, member concerns, exceptions, and service recovery.

· Ensure the new-member and prospective-member experience reflects the Club's standards of personalized, anticipatory service.

· Coordinate across Club departments to ensure seamless execution of Membership-related programs and experiences.

· Identify operational gaps and implement solutions that improve efficiency, consistency, accuracy, and the member experience.

Financial & Administrative Oversight

· Ensure appropriate processes and controls are in place for the accurate and timely handling of Membership financial activity.

· Review reconciliations, reports, discrepancies, and outstanding items and ensure appropriate follow-up and resolution.

· Partner closely with Accounting to maintain alignment and accuracy between Membership and financial records.

· Monitor deadlines and reporting requirements and hold responsible team members accountable for timely completion.

· Review Membership activity and financial information for trends, exceptions, risks, and areas requiring leadership attention.

· Maintain appropriate standards for confidentiality, documentation, and financial controls.

Member, Realtor & Community Relations

· Ensure the Membership Department provides knowledgeable, responsive, and professional service to members, prospective members, realtors, and other stakeholders.

· Oversee the department's support of the local real estate community and ensure accurate and consistent Membership information is communicated.

· Build and maintain productive relationships with key real estate partners and other external stakeholders.

· Represent Membership leadership in meetings, tours, events, and other interactions as appropriate.

· Serve as a senior point of contact for complex or sensitive Membership and prospective-member matters.

Operational Management & Continuous Improvement

· Partner with the Director to establish departmental goals, priorities, procedures, and performance expectations.

· Evaluate departmental processes and identify opportunities to improve efficiency, technology utilization, communication, accuracy, and service.

· Develop, maintain, and ensure adherence to departmental SOPs and internal controls.

· Use operational and financial data to monitor departmental performance and inform decision-making.

· Ensure effective communication and coordination within Membership and across Club departments.

· Lead or support departmental projects and initiatives from planning through implementation.

· Anticipate operational challenges and proactively develop solutions.

Executive & Board Support

· Support the Director in preparing Membership information, reporting, analysis, and recommendations for the General Manager, senior leadership, and Board.

· Ensure Membership data and reporting provided to leadership are accurate, timely, and appropriately presented.

· Participate in leadership and Board-related meetings as requested and ensure appropriate follow-up on Membership action items.

· Exercise a high degree of discretion, professionalism, and sound judgment when handling confidential or sensitive matters.

Supervisory Responsibilities

The Assistant Membership Director provides direct day-to-day leadership and supervision to a team of approximately seven Membership Department employees and shares responsibility with the Director of Membership and Marketing for the overall performance and development of the department.

EDUCATION, EXPERIENCE and TRAINING:

- Bachelor's degree in Marketing, Business Administration, Hospitality, or related field preferred; equivalent combination of education and relevant professional experience may be considered.
