Job Summary: The Administrative Support Specialist plays a key role in supporting efficient operations at Zoltek’s Missouri Research Park (MRP) facility in St. Charles, Missouri. This position provides accurate, timely support across purchasing, sales order processing, inventory control, receiving, and general office administration. The successful candidate will be organized, detail-oriented, responsive, and comfortable coordinating with production, shipping, vendors, and other internal teams.
Essential Duties and Responsibilities:
Office Support:
Provide day-to-day administrative and clerical support to help the facility operate efficiently.
Partner with other departments to resolve administrative issues, respond to requests, and support shared priorities.
Purchasing/Sales Order Processing:
Maintain complete and organized purchasing documentation and electronic records.
Communicate customer and shipping requirements provided by Sales and Marketing to the appropriate teams.
Coordinate transportation providers and assist with resolving freight, delivery, and documentation issues.
Coordinate releases against blanket purchase orders and follow up on outstanding requirements.
Enter purchase-order receipts promptly and retain supporting documentation.
Inventory Control/Receiving:
Review and accurately enter production and inventory-control data.
Maintain complete, accurate, and accessible inventory-control records.
Process returned goods and coordinate outside material processing.
Record inventory transactions for raw materials received from external suppliers and other Zoltek facilities.
Perform cycle counts, reconcile discrepancies, and coordinate cycle-count activities with others as assigned.
Qualifications:
High school diploma or equivalent required.
At least one year of experience in purchasing, inventory control, order processing, receiving, or administrative support preferred; manufacturing or warehouse experience is a plus.
Working knowledge of inventory counting and the ability to work safely in production and warehouse areas.
Proficiency with Microsoft Outlook, Teams, and Excel; experience with Dynamics D365 or a comparable ERP system preferred.
Strong attention to detail, organization, follow-through, and data-entry accuracy.
Effective written and verbal communication skills and the ability to work collaboratively with employees, vendors, and cross-functional teams.
Ability to prioritize multiple assignments, meet deadlines, and exercise sound judgment when resolving routine issues.
Ability to perform basic arithmetic using U.S. customary and metric units and to follow written, verbal, and diagram-based instructions.
