JOB SUMMARY:

The Human Resources Assistant provides administrative and operational support to the Human Resources Department by coordinating and maintaining HR processes, employee documentation, onboarding and offboarding activities, compliance tracking, leave administration support, pre-employment requirements, reporting, training coordination, and other HR initiatives. This position works closely with Human Resources leadership, managers, employees, and internal partners to help ensure HR processes are completed accurately, timely, and consistently while maintaining a high level of professionalism and confidentiality.

MINIMUM QUALIFICATIONS:

Education

- High school diploma or equivalent required.

- Associate degree, bachelor’s degree, or coursework in Human Resources, Business Administration, or a related field preferred.

Experience

- One to two years of administrative, Human Resources, or related business support experience preferred.

- Experience supporting multiple locations or a multi-state organization preferred.

- Experience working with HRIS, applicant tracking, timekeeping, or other employee management systems preferred.

License or Certification

- None required.

Specialized Skills

- Strong attention to detail, organizational skills, and follow-through.

- Ability to maintain confidentiality and handle sensitive employee and organizational information appropriately.

- Effective verbal and written communication skills.

- Proficiency in Microsoft Excel, Word, Outlook, and other business applications.

- Ability to prioritize multiple assignments, meet deadlines, and work in a fast-paced environment.

- Ability to work independently and collaboratively while knowing when to escalate matters to HR leadership.

- Strong customer-service approach when interacting with employees and managers.

- Ability to collect, maintain, and report HR data accurately.

- Ability to read, write, and comprehend English; bilingual English/Spanish preferred.

Physical Requirements

- Frequently required to sit for extended periods while using a computer.

- Ability to stand, walk, bend, and reach as needed throughout the workday.

- Occasional lifting or moving of materials up to 25 pounds.

- Ability to see, hear, and communicate effectively in an office environment.

Work Conditions

- Primarily office-based environment; hybrid work may be available based on business needs.

- Regular use of computer-based systems and office equipment.

- Frequent interaction with employees, managers, HR leadership, and internal business partners.

- Fast-paced environment with multiple priorities and deadlines.

- May periodically support HR activities at other company locations based on business needs.

Essential Duties & Responsibilities

- Provide day-to-day administrative and operational support to the Human Resources team.

- Maintain, organize, and update employee personnel documents, HR forms, records, and electronic files.

- Coordinate and track new employee onboarding requirements and assist in ensuring required documentation and pre-employment steps are completed.

- Support employee offboarding activities and ensure required HR documentation and administrative steps are completed.

- Coordinate and monitor Form I-9 documentation, including follow-up on missing or incomplete documentation and support of periodic compliance reviews.

- Support leave of absence administration by receiving initial requests, collecting required documentation, tracking status, and escalating leave matters to the appropriate HR representative.

- Coordinate and track background checks, motor vehicle records, drug screenings, and other applicable pre-employment or employment-related screening requirements.

- Assist with employment verifications, unemployment claims, state disability requests, and other state, local, or employment-related verification requests.

- Serve as a point of contact for routine employee and manager HR questions and direct or escalate matters requiring HR leadership review.

- Support recruiting activities, including candidate coordination, interview scheduling, pre-employment requirements, hiring documentation, and applicant tracking.

- Collect, maintain, analyze, and distribute HR data, trackers, and recurring reports.

- Review HR documentation and data for completeness and follow up with managers or employees regarding outstanding items.

- Support employee training initiatives by coordinating schedules, maintaining training records, tracking completion, and following up on outstanding requirements.

- Assist with annual Open Enrollment preparation and other company HR initiatives.

- Support performance management processes through coordination, documentation tracking, and record maintenance.

- Conduct or coordinate employee welcome check-ins and assist with exit interviews under HR guidance.

- Coordinate with internal partners to support employee equipment, system access, technology, and other onboarding or employment needs.

- Assist with internal HR audits, compliance reviews, and documentation follow-up.

- Prepare routine HR correspondence, forms, reports, and employee communications.

- Support HR leadership with research, special projects, process documentation, organizational changes, and other HR initiatives.

- Maintain confidentiality of employee, applicant, and organizational information at all times.

- Perform additional responsibilities and special projects as assigned based on business needs.

Pay Range: $24 - $27 per hour
