Clinic Operations Manager

Connect n Care ABA is looking for an organized, proactive, and people-focused Clinic Operations Manager to help lead the day-to-day operations of our Charlotte, NC clinic.

This is a key role within the clinic, working closely with the Clinic Director and clinical team to keep operations running smoothly, ensure staff and clients have the support they need, and create a welcoming, organized environment for everyone who walks through our doors.

What You'll Do:

Clinic Operations & Organization

- Support the Clinic Director with the day-to-day operations and organization of the clinic.

- Monitor clinic budgets, operational expenses, and resource needs.

- Order and maintain therapy supplies, office supplies, equipment, and other materials needed for daily operations.

- Maintain a clean, organized, welcoming, and functional clinic environment.

- Create and maintain organizational systems that help the clinic operate efficiently.

- Identify operational needs and recommend solutions to ensure the clinic has the resources necessary to support clients and staff.

- Help implement clinic policies, procedures, and operational initiatives.

Scheduling & Staffing Support

- Work closely with the Clinic Director to coordinate client and staff scheduling needs.

- Monitor daily staff availability and coverage to help maintain appropriate staffing levels.

- Assist with forecasting staffing needs based on current and anticipated client needs.

- Manage employee time-off requests in accordance with company policies.

- Help identify and address scheduling or coverage gaps as they arise.

- Support staff with day-to-day administrative and operational needs.

Family & Client Support

- Serve as a friendly and reliable point of contact for families regarding administrative and operational questions.

- Provide administrative support and guidance to families throughout the client experience, from onboarding through ongoing services.

- Help ensure families have a positive, organized, and supported experience at the clinic.

- Address day-to-day concerns and coordinate with the appropriate team members when additional support is needed.

Team & Clinic Culture

- Foster a positive, professional, collaborative, and encouraging clinic environment.

- Build strong working relationships with clinical, administrative, and operational team members.

- Help create an environment where staff feel supported and the clinic functions as a cohesive team.

- Identify operational challenges and take initiative to help resolve them.

- Escalate concerns to the Clinic Director when appropriate.

- Maintain confidentiality of client, family, and employee information.

- Take on additional responsibilities and projects as needed to support the success of the clinic.

What We're Looking For:

- Associate or Bachelor's degree preferred.

- High school diploma or equivalent required.

- Previous experience in healthcare, behavioral health, ABA, clinic operations, or a similar clinical environment preferred.

- Experience with scheduling, staffing coordination, administrative operations, or team support is a plus.

- Strong organizational and time-management skills.

- Excellent verbal and written communication skills.

- Strong attention to detail and follow-through.

- Ability to manage multiple priorities in a fast-paced environment.

- Comfortable adapting to changing staffing, scheduling, and operational needs.

- Strong problem-solving skills and sound judgment.

- Professional, approachable, dependable, and service-oriented.

- Comfortable working with families, employees, and clinical professionals.

The Clinic Operations Manager helps create the foundation for a successful clinic. While the clinical team focuses on providing high-quality care, you help make sure the people, schedules, supplies, systems, and day-to-day operations are in place to support them.

You'll have the opportunity to make a meaningful impact not only on clinic operations, but also on the experience of our clients, families, and employees.

Work Environment:

This is a full-time clinic-based position with regular interaction with clients, families, clinical staff, and other team members.

The role includes:

- Frequent computer and phone use.

- Regular sitting, standing, and walking throughout the clinic.

- Moving throughout the clinic to support daily operations.

- Occasional lifting or carrying of supplies and materials.

- Flexibility to respond to changing staffing, scheduling, and operational needs.

- Maintaining a professional, organized, and welcoming clinic environment.
